From meeting transcript to client profile

Your meeting-notes tool already produces a transcript. The system reads it alongside scanned statements and back-office data, fills a structured client profile, separates confirmed facts from things the client said in passing, and lists what still needs checking.

Annual review

Annual review preparation

Before each review, the profile is compared with what has changed since last year: new documents, updated valuations, life events mentioned in conversation. The adviser gets a short brief of what is different and what to ask, instead of rereading the whole file.

Reports

Suitability report first drafts

Sections that restate the client's circumstances and objectives are drafted from the agreed profile, in your firm's own wording. The adviser writes the recommendation and edits the rest. The draft never goes out unchecked.

File checks

File checks before a compliance review

Every client file is checked against your own checklist: missing signatures, out-of-date documents, objectives that do not match the recommendation. Gaps are flagged for a person to fix, with a record of who fixed what.

We pick one process, usually the fact-find or the annual review, and map where the time goes, which systems hold the data, and what your compliance team would need to see in an audit.

Test on fictitious files

We build against 10 to 20 representative files with realistic fictitious details, and measure what an adviser still has to correct. You see the accuracy before any real client data is involved.

Run alongside your team

The system runs in parallel with your current process. Advisers review every output, and nothing replaces the existing way of working until the numbers say it should.

Handover

Documentation, source code and a plain-English description of what each step does. Built to need very little looking after, because most advice firms do not have an IT team to spare.

Proven document work, applied carefully to advice files

A straight answer on track record: we have built document-intelligence systems that ingest unstructured documents, extract and check the facts, and produce structured output for review. We have not yet published an advice-firm case study. That is why every engagement starts on fictitious files, with accuracy measured before any real client data is involved.

Our proof of concept (£8,500, 3 to 5 weeks) builds one workflow, usually fact-find to client profile, and reports how many fields an adviser still had to correct. AI for financial advisers: what firms actually ask

Does the FCA allow advice firms to use AI?

The FCA has said it does not plan to introduce AI-specific rules and expects firms to apply existing frameworks such as the Consumer Duty and the Senior Managers and Certification Regime. In practice that means the firm stays accountable for every output, which is why everything we build keeps a qualified adviser as the person who signs off.

Where is client data processed?

In the UK. Depending on the work, personal details are masked before any external model sees them, the model runs inside a UK cloud region, or a smaller model runs inside your own environment and only anonymised context goes further. Will this replace our paraplanners or administrators?

No. It removes the retyping and the rereading: pulling facts out of transcripts and documents, spotting what is missing, preparing first drafts. People still check, decide and sign off. Firms usually use the time to take on more clients without adding headcount.

Does it work with Intelliflo or our meeting-notes tool?

It works from what your systems can share: an API where the provider offers one and your licence allows it, or regular exports where they do not. We check what each provider permits during the first workflow, before any build work starts.

We are a small firm with outsourced IT. Is this realistic for us?

Yes, if it is designed for that from day one. We keep the moving parts few, document everything in plain English, and agree in advance exactly what, if anything, your IT provider needs to do.

How long does it take and what does it cost?
